Rules and regulations regarding Personal Information
JETSETTER Company Limited (hereafter ‘JETSETTER’), is a travel agency whose core business stems from the concept that ‘Life begins with a beautiful journey’. Our philosophy is that by providing irreplaceable experiences to all of our customers, we are able to run a happy and prosperous business. In the course of business, we handle various types of confidential personal information on a daily basis.
JETSETTER believe that any data provided by our customers must be treated with the upmost care and diligence and we are committed to the proper handling of this information as an essential aspect of the respect for the individual. In order to protect Personal Information in its entirety, JETSETTER will treat them in accordance with the codes & regulations of the Act on the Protection of Personal Information and the courts of Japan (hereafter ‘the Act’). Based on the above, JETSETTER sets forth the following policy in order to handle all such information in an appropriate manner to safeguard the Personal Information of our valued customers:-

In the course of providing our services to our customers, JETSETTER shall obtain Personal Information which will be treated in a just and appropriate manner. The employees at JETSETTER shall be fully aware of the gravity of the handling of such Personal Information and will not permit the information to be disclosed for any reason or purpose to any other person for any reasons in the course of providing you with its products or services. Personal Information for use not noted under our rules and regulations, will only be permissible by JETSETTER’s procuring the customer’s consent.

1. JETSETTER complies with the laws regarding Personal Information, the regulations set by the national government and the rules of the Personal Information Protection and Management System. Consequently, we hereby establish a basic policy for the appropriate handling by their employees of the Personal Information as defined under the Act.

2. JETSETTER shall take all measures in a technical and organizational capacity to prevent the leakage or unauthorized use of the Personal Information. We shall be constantly testing our management system to identify any possible discrepancies so that if found, they can be swiftly corrected to prevent unauthorized disclosure and also perform thorough training for all employees on a on-going basis.

3. If you have any issues, queries or complaints surrounding JETSETTER’s Personal Information Protection and Management System and our treatment of personal information, we endeavor to answer all enquiries in a prompt and efficient manner and respond accordingly.

4. In order for the appropriate usage and protection of customer’s Personal Information, internal monitor systems have been implemented to ensure the prevention of unlawful activity, violations of privacy or accidents, and we shall consistently review our management system for any possible improvements. Any such change or improvement will comply with the rules and regulations set forth by the JISQ15001.

Management system
In addition to the training of all employees in the treatment of Personal Information, we have implemented a reliable Personal Information Management System which is supervised appropriately.

Security protection countermeasures
At JETSETTER, we shall endeavor to protect the customer rights against all acquisition, unlawful possession, unauthorized usage and disclosure of their Personal Information held in our care.

Purpose of acquisition and limits of usage
In the event that Personal Information is obtained, we shall make the purpose of usage for such Personal Information clear to the customer. The Personal Information will not be used in any way other than what has been explicitly stated. Furthermore, the Personal Information will not be used without the consent of the individual.
The customer’s Personal Information will be used for the following purposes and includes instances whereby Personal Information has been provided to us by our recognised suppliers:-

To secure the customer’s travel bookings (itinerary planning, the handling of travel arrangements, making reservations on behalf of the customer, securing attendant services and so on) where Personal Information may need to be provided to the relevant transport companies, accommodation establishments or personnel service providers and their employees. In such cases, notification will be made directly to the individual or the appointed representative for the permissible use of such Personal Information.

Personal Information may be used during the course of the contact with the individual regarding the permission to use their Personal Information as well as during the course of confirming attendance for various events and post-event customer relations interaction.

Request for disclosure
We will endeavor to act in the appropriate manner in the event of any notification, disclosure, corrections and/or amendments, additions, removal, usage, provisions and suspension relating to the customer’s Personal Information. Queries, comments, and complaints regarding the handling of Personal Information can be directed to the administrative office of Personal Information Protection:

c) Purpose of using Personal Information with consent:
Communications regarding CLUB JETSETTER members’ personal information for travel arrangements
Inbound clients’ personal information for travel arrangements
Client information for travel planning
JETSETTER company sales and marketing materials
For use in the course of business with affiliated companies
Internal reporting of company business

(1) Those who wish for disclosure are asked to complete the Disclosure of Personal Information form and submit it to the above-mentioned administrative office. Forms can be requested via e-mail at info@jetsetter.ne.jp

(2) Verification of customer identity One of the two following methods will be employed to verify the identity of the customer:

a) A faxed copy or scanned PDF file version of the individual’s driving license, passport, Japan resident registration card with photograph, Japanese National Health Insurance card, Alien Registration card or the ‘Jyuminhyo’current registered address document.

b) Sent in original form for our administrative office to make a copy of, the individual’s original driving license, passport, Japan resident registration card with photograph, National Health Insurance card, Alien Registration card or the ‘Jyuminhyo’ current registered address document. All originals sent will be returned by registered mail to the address specified by the individual customer.

3）Handling charges
A standard handling charge will be applied to any disclosure request/notice of purpose of use by the individual or their appointed representative.

a) 1000 JPY per notice of purpose of use supplied
b) 1000 JPY per disclosure request supplied
c) All other requests for disclosure will not incur a charge

Handling charges can be settled by bank transfer (details can be provided from the administrative office), by credit card or by cash posted in a registered delivery envelope.

*Please note that any queries relating applications to disclosure can only be discussed after confirmation of the handling fee has been settled in full.

Handling of Personal Information
Unless explicitly instructed or allowed by the customer, Personal Information will not be disclosed to a third party with the exception of the following cases:-

1. When it is required by law
2. When an individual’s life is under threat and/or their assets at risk and request for permissible use is severely hindered.
3. When requested by the national or local government or representative to provide such information in accordance with the legal standing whereby the necessary permission is unobtainable without further compromise to the investigating party.

Compliance
At JETSETTER, a data management system has been established in order to obtain the Privacy Mark certification based on the JIS Q 15001：2006 (Protection of Personal Information Management System.)
As well as complying with the Japanese Government's 2003 Law No. 57 implementation of the ‘Act on the Protection of Personal Information’ and the legal guidelines as set forth by the national legal system, JETSETTER are committed to consistently reviewing our Protection of Personal Information management system.
